Cancellation Policy

A commitment to attend one of i-coach academy’s programmes, seminars or events is entered into either through the submission of a booking request (via email, Eventbrite or i-coach’s website) or the submission of a completed application form. Through the submission, the individual is entering into a contractually binding agreement with i-coach academy and is giving their acceptance to abide fully with the published terms and conditions applicable to the particular programme, seminar or event.

Terms and conditions plus fees payable for i-coach academy’s programmes, seminars and events are published on i-coach academy’s website (www.i-coach.co.uk). It is the individual’s responsibility to ensure they have read and understood the terms and conditions that applies to the all programmes, seminars or events (face to face or virtual) to which they have booked.

Payment

On receipt of a booking request or application form, a place will be held for the individual by i-coach academy and an invoice raised

For all seminars and events (both face to face and virtual) fees are payable in full through the booking site or on receipt of the i-coach academy invoice

If more than 30 days prior to the programme (both face to face and virtual) start date, a deposit totalling 20% of the total fee is payable on receipt of the invoice with the balance payable 20 working days prior to the start date

Where there are fewer than 30 working days prior the start date, the total fee must be paid in full on receipt of the invoice

For programmes being paid in ‘tranche’ (instalments) an administration fee will be added to the total cost and will appear as a separate item on the invoice

Exceptions

Administration fees, where billed, are non-refundable

Programmes, seminars or events (either face to face or virtual) rescheduled by i-coach academy which result in the individual being unable to attend the rescheduled date(s) will result in any monies paid (less any administration fee) being refunded and no further cancellation charges applied

In the event the individual is unable to attend a booked programme, seminar or event (either face to face or virtual) they have the right to offer a substitute to attend in their stead to avoid incurring cancellation charges subject to i-coach academy’s agreement

Cancellation of any programme, seminar or event by i-coach academy (either face to face or virtual) with no rescheduled date(s) offered will result in a refund being made (less any administration fee)

If an individual is unable to pay the total programme fee in one sum a Tranche Payment Plan can be arranged at the discretion of i-coach academy. Each request of this nature will be considered on a case-by-case basis. In every event, however, all payments must be paid in full in accordance with the agreed Tranche Payment Plan. Failure to pay an agreed tranche without the express agreement of i-coach academy will result in the individual being withdrawn from the programme in which they are participating. Please be aware payment in tranches is subject to a one-off administration fee which is non-refundable in all circumstances

It is the individual’s responsibility to ensure they have read and understood the Terms and Conditions that apply for every programme, seminar or event (both face to face and virtual) onto which they have been booked. For special events which may have their own specific Terms and Conditions the individual is obliged to abide by those specific Term and Conditions

Terms and Conditions – Seminars & Events (face to face and virtual)

If you have to cancel a seminar or event, we will provide a refund as detailed below, less an administrative charge of £20.

  • Cancellation more than 30 working days prior to a seminar or event date = 0% of fees forfeit
  • Cancellation fewer than 30 working days but more than 15 working days prior to a seminar or event = 50% of fees forfeit
  • Cancellation fewer than 15 working days prior to a seminar or event = 100% of fees forfeit

NB If the individual is able to offer a substitute to attend in their stead, subject to i-coach academy’s agreement, no monies will be forfeit and no administrative fee charged.

Terms and Conditions – Programmes (face to face and virtual)

Cancellation more than 40 working days (Mon – Fri) prior to the date of commencement of programme = no charge

Cancellation more than 30 working days (Mon – Fri) prior to the date of commencement of programme = 20% of total fee is forfeit

Cancellation fewer than 30 working days (Mon – Fri) but more than 15 working days (Mon – Fri) prior to the date of commencement of programme = 50% of all monies paid or owed are forfeit

Cancellation fewer than 15 working days (Mon – Fri) prior to the commencement of a programme or withdrawal from a programme once it has commenced = 100% of any monies paid or owed are forfeit

In the event a participant proves to be unsuited for a programme onto which they have enrolled, i-coach academy reserves the right to terminate the relationship and payment will only be due for the modules/interventions received to that point plus a one-off administration fee

In the event a participant finds they are unable to continue with the programme onto which they have enrolled, regardless of reason, they must inform the Programme Director in the first instance then document their reason(s) for withdrawal and submit to the i-coach academy office. Each case will be reviewed on a case by case basis by i-coach academy Directors. Should the participant’s rationale for withdrawal part-way through their programme be accepted and supported by the i-coach academy Directors, payment will only be due for the modules/interventions received to that point

Any agreed Tranche Payment Plan must be strictly adhered to by the participant. Changes to a Tranche Payment Plan can only be made with the express permission of i-coach academy. Failure to adhere to an agreed Tranche Payment Plan may result in the delegate being withdrawn by i-coach academy from the programme in which they are enrolled.
